General Rental & Venue Hire Agreement:

By booking with us at Shambala Nature Retreat, you agree to the following:

Terms of Booking:

• A non-refundable deposit of 30% of the total booking value is required at the time of booking. The full amount is due prior to check in and in case of cancellation/rescheduling fees incur as outlined in our Rates Info/Cancellation Policy.
  
• Please note all credit card transactions will incur a 2% fee.
• Guests must be 18 years or over to book an apartment and any guests underage must be accompanied by a legal parent or guardian. Photo ID may be requested upon check-in.

Liability:

• Guests are required to take full responsibility for the home and at the end of their stay are required to leave all utensils, fixtures, fittings, and equipment on the property and as found
  
• The guest is liable for any extra cleanings, breakages, or damages caused to the property that occur during their stay and therefore shall be payable by credit details stored.
• We are a rural property with about 60-70% of the land covered in heritage forest and bushland and there is a beautiful dam located on the other side of the property, domestic animals as well as precious Southwest wildlife. Please be bush smart. Therefore, children are the sole responsibility of parents/guardians. There is NO RESPONSIBILITY taken by the property and its owners for any person or child who may be inflicted in any way whilst not being supervised by a parent/guardian or taking any unnecessary risk.
• If you are staying at Shambala with a group or are facilitating/organising an experience here for a group of people, it is your responsibility to ensure all of your group members are aware of relevant house and property guidelines and rules.
  
• For Business/Corporate Bookings & Commercial Retreats and Stays only: If you are booking and bringing down guests on behalf of your own or another business or other entity and include self-organised activities in your stay, we require a copy of your public liability insurance policy.

Woodland Hive & Retreat Venue Hire Rental Agreement:

• the Woodland Hive accommodates a maximum of 12 people. Any larger gatherings, events and bookings are to be discussed with and preapproved by Shambala Management and incur additional fees.
  
• Embrace our sustainability ethos: We ask you to use water and electricity mindfully and do not bring & use chemical products (incl. personal care items) - this is why we supply natural personal care and cleaning products
  
• Shambala has a no-smoking policy indoors, in outdoor areas and 5m surrounding the buildings. If you do smoke outside of these locations, please ensure to leave no trace.
  
• Please note that there is a complete open-fire ban in place in the Southwest Region from October-May each year due to bushfire risk. During this time the use of the woodfire pizza oven and fire places is not permitted.
  
• Please ensure to take all your belongings home with you at departure and to contact us as soon as you notice you've left something behind. Any items left unclaimed will be moved on to the thrift shop after three weeks.

• The fixed cleaning fee makes for a standard clean post-departure. However, guests are asked to leave their apartment in a clean and tidy condition which includes:
  
  
  • Emptying the inside bins.
  • Emptying all items from fridge and freezer. Wiping fridge clean.
  • Washing and putting away all dishes
  • Returning all items of furniture belonging to the apartment to their original positions

Non-adherence to the below cleanliness standards will incur additional cleaning fees.

• To respect neighbours and others residing on the property noise it to be reduced to room level by 10 pm
  
• Leave No Trace. - you are welcome to roam the land and areas around the Hive - please respect this Boodja, the land, and its inhabitants and take with you what you brought.
  

Cancellation & Refund Policies

• Bookings cancelled 60 days or more prior to the arrival date receive a full refund minus the non-refundable deposit (30%).
  
  • The deposit may be transferred to another date within the next 4 months. The new date must be rebooked within 2 weeks from the reschedule request.​
  • A cancellation / rescheduling fee of $50 applies to cover additional administration.

• Bookings cancelled within 60 days of the arrival date incur 50% of the total booking amount, plus a cancellation / rescheduling fee of $50 applies to cover additional administration
• Bookings cancelled within 30 days of the arrival date incur 70% of the total booking amount, plus a cancellation / rescheduling fee of $50 applies to cover additional administration
  
  • ​For bookings cancelled within 60 days prior to arrival, a transfer of the deposit or amount paid to another date within the next 4 months may be possible, only if the original dates get rebooked - you are welcome to organise another party to take over your booking to ensure a possible transfer.
  • Your deposit can only be transferred to a new booking of the same amount of nights as your initial booking.

• One reschedule per retreat is permitted. Please choose your dates mindfully.
